A significant number of non-profit organizations work with Material Aid/Gifts-in-Kind (GIK), as such donations can play a key role in contributing to relief and development efforts, and also form a substantial part of many organizations’ financial bottom line.
Mercy Corps and World Vision are organizing the First Annual GIK Conference, open to all organizations and individuals with an interest in promoting GIK best practices. The goal of this conference is to encourage discussion, share ideas and foster collaboration. The conference will be held April 14 & 15 in Portland, OR.

Day 1, 8:00 AM - 4:00 PM
Today’s topics will focus on revenue, valuation, operations and logistics. Sessions will be relevant to both GIK professionals and accounting/finance professionals:
Recognizing GIK Revenue
Not all organizations currently follow the AERDO standards, yet InterAction requires that member organizations be “guided and informed” by them. All organizations must comply with FASB 136, and it is possible that AERDO will be incorporated into Generally Accepted Accounting Principles (GAAP). What does compliance with FASB 136 entail? How would a GAAP shift toward AERDO mean for many NGOs? What are the minimum standards that organizations should follow? Nancy Shelmon, the Partner-in-Charge of the West Region’s Not-For-Profit and Higher Education Services Group of PricewaterhouseCoopers LLP and a member of the AICPA’s Not-for-Profit Expert Panel, will discuss these issues and more.
Following Ms. Shelmon’s talk, a panel of NGO representatives will share internal methods for recognizing revenue, and will take questions from the group.
Afternoon break-out sessions will include the following topics:
Operations: There exist a variety of ways to handle GIK – some organizations have invested in warehousing and inventory systems, while others ship directly from the source. Each representative will share her/his organization’s operations method, and will take questions from the group.
Logistics 101: A freight forwarding expert will overview the basics of shipping of relief and development supplies internationally.
Valuation: Determining the value of in-kind donations can be challenging. Should brand-name donations be valued differently than generics? How should product with defects (e.g. short-dated product, etc.) be accounted for? This will be a moderated discussion in which participants share ideas and questions.

Today’s topics will focus on partnerships and the programmatic and environmental impact of GIK. Sessions will be relevant to both GIK professionals and program managers.
Morning break-out sessions will include the following topics:
Achieving Programmatic Impact with GIK: Many organizations are moving beyond simply distributing supplies to the needy – GIK is increasingly being used to help achieve programmatic goals and objectives, a model considered best practice by an increasing number of organizations. Session facilitators will share and discuss creative ideas for using GIK to achieve programmatic impact.
Partnerships: Many NGOs have entered into GIK partnerships with corporations and other NGOs. What are some of the opportunities and challenges associated with such partnerships? What makes an ideal partner? World Vision will share case studies of its experience developing and maintaining such partnerships.
Environmental Impact of GIK: An expert on climate change and environmental issues will facilitate a session on the environmental impacts (including carbon footprints) associated with GIK shipments.
Afternoon sessions will include a discussion about how NGOs can continue to share information as well as steps to take post-conference.

Product Donations
Product Donations (gifts in kind) are gathered from all corners of the United States. Yet, rarely from Maine (we're working on that.) We then bring the product donations into our warehouse that resides in Guthrie, Oklahoma. There, braving the extreme heat and bitter cold that is Oklahoma, our team of product sorting super heroes swashbuckle the information out of every single product. We then notify our partners of exactly what the product is, ('cause we know now), and it's shipped out of our warehouse bound for anywhere in the world.
Low-Cost Purchased Goods
We get a large variety of product donations, but sometimes we don't get enough of the specific products that our non-profit partners need. When this happens we purchase the products to make our partners happy, which makes us happy...so everybody's happy. The benefit of this is that the products are not hit or miss in availability, we've got them year round.
